AI Automation. Stop Copying Data Between the Tools You Already Pay For
Your calendar, CRM, phone and web forms each work, and someone on your team spends their day copying names between them, and the follow-up is what gets missed. We connect the tools you already run with n8n, Make or Zapier, so a booking taken by a voice agent, a lead from a form or a finished appointment sets off the next step on its own. The AI is the voice agent; the automation is the plumbing that makes its output useful.
- Leads stop going cold in an inbox: they are in your CRM the moment they arrive
- Voice agent bookings reach the calendar and confirm by SMS without a hand touching them
- Reminders go out before appointments and review requests after, whether or not anyone remembered
- No-shows are followed up the same day, not when someone notices the gap
Platforms we work in
How we approach it
The Follow-Up Happens Even When Nobody Remembers
The reminder that was not sent, the review that was not asked for, the lead that sat until Monday: none of these fail because your team does not care. They fail because they depend on someone remembering during a busy day. A workflow does not forget. The trigger fires, the steps run, and the outcome is logged, every time.
- Trigger, steps, outcome: every workflow written down first
- Calendar, CRM, SMS and forms connected as standard
- Built in n8n, Make or Zapier, chosen for your tools
- The voice agent plugs in when you are ready for it
Connect What You Have, Replace Nothing
Your tools were chosen for reasons and your team knows them, and the problem is only that they do not talk to each other. We connect them rather than sell you a platform that does everything badly. n8n, Make and Zapier talk to Google Calendar, HubSpot, most phone systems, form builders and Google Business Profile directly, and to almost anything else through its API.
- Google Calendar and Google Business Profile
- HubSpot or the CRM you already run
- Web forms, phone systems and SMS
- Anything with an API, checked before you commit
Automate the Routine, Not the Judgement
The thing that stops most businesses automating anything is the fear of the one step that should not be: the refund, the complaint, the clinical or legal question. We say which steps those are, route them to a person with the context gathered, and automate everything around them. The workflow is fast where speed helps and careful where it matters.
- Hand-off points agreed with you before the build
- Context travels with the hand-off, so nobody re-asks
- Every run logged, so you can see what happened
- Nothing sent to a customer in wording you have not approved
How we work
Find where the hours go
You know your team is copying and chasing, but not which of it costs you most. We sit with them and list the things copied, chased and forgotten each week, ranked by what each one costs you rather than by what is easiest to automate.
Pick the platform for your tools
The wrong platform is one your team cannot edit or one that cannot reach your phone system. We choose between n8n, Make and Zapier on your tools, your volume and who will maintain it, and tell you why before the build starts.
Build the chain from trigger to outcome
Each dropped step becomes a workflow: a form to the CRM, a booking to the calendar and an SMS, a finished job to a review request. Fields are mapped so the tools agree on who the customer is.
Test it against the messy cases
A full calendar, a bounced text, a duplicate lead, a customer who books twice: these are where automation quietly fails. Workflows run on real bookings and real leads before they run on their own, and the failure paths are built in rather than found later.
Switch on and keep it running
Connectors change and fields get renamed, and a workflow that ran for a year stops. Once live, every run is logged and errors are visible to you; changes and new workflows are a one-off job or part of a monthly retainer.
What is inside this service
- Lead to CRM Without the Retyping
- Bookings That Reach the Calendar
- Reminders and No-Show Follow-Up
- Review Requests That Get Sent
- Enquiries Routed to the Right Person
- One Record Across Every Tool
- The Tools You Already Pay For
- A Person on the Steps That Matter
What each part does
- Lead to CRM Without the Retyping
- A lead that sits in an inbox until Friday is a lead that has already called someone else. A form fill, a call or an email enquiry becomes a HubSpot contact with its source attached, while the person is still interested.
- Bookings That Reach the Calendar
- Two people booking the same slot from two different tools is how double bookings happen. Appointments taken by a voice agent, a web form or a text land in Google Calendar and confirm to the customer by SMS, with the slot blocked before anyone else can take it.
- Reminders and No-Show Follow-Up
- The customer who forgot costs you the slot and the call to fill it. Reminders go out before the appointment, and a follow-up with a rebooking link goes to anyone who missed it, without your team remembering to send either.
- Review Requests That Get Sent
- Your happiest customers leave no review, because nobody asked at the right moment. A message goes out after the job or the appointment, while they are still pleased, and stops once they reply.
- Enquiries Routed to the Right Person
- A quote request that reaches the wrong inbox waits there. The workflow reads what came in, sends it to whoever handles that kind of enquiry, and nudges again if nobody picks it up.
- One Record Across Every Tool
- The customer who called, booked and paid is three different people in three different tools, and nobody can see the whole picture. We map the fields between them so your CRM holds one record that agrees with the rest.
- The Tools You Already Pay For
- The last automation pitch you heard wanted you to replace everything first. n8n, Make and Zapier connect to the calendar, CRM, phone, forms and review platforms most local businesses already run, so nothing is replaced to make it work.
- A Person on the Steps That Matter
- The fear with automation is the refund, the clinical question or the complaint answered by a workflow. Those are routed to a person with the context attached, and the automation waits for the decision.
What it changes for you
Follow-Up That Happens
Leads stop going cold and appointments stop being forgotten, because the next step runs whether or not anyone remembered.
Time Back for Your Team
The copying, chasing and checking between tools goes, and the people who did it get their day back.
One Version of the Truth
The customer is one record, not three, so your CRM, calendar and phone log finally agree on what happened.
Workflows You Can Read
You are not locked into us to understand your own business, because every automation is documented and visible in n8n, Make or Zapier.
What it costs
Custom quote for the build, scoped from the workflows on your list. Optional monthly retainer for maintenance, changes and new workflows.

Questions we get asked
Before you commit
No. Automation stands on its own: leads to CRM, bookings to calendar, reminders, reviews and routing all run without an agent. If you add one later, it plugs into the same workflows.
Google Calendar, HubSpot and most CRMs, web forms, phone systems with an API, SMS providers and Google Business Profile are the usual set. n8n, Make and Zapier between them reach most software a local business runs. Anything unusual is checked before you commit, not discovered after.
Most of it is workflow automation, and we call it that. The AI part is the voice agent and, where it earns its place, a model reading an enquiry to route it or drafting a reply for a person to approve. The plumbing is what makes either useful, and it is most of the work.
What could go wrong
It tells you. Every run is logged, failures raise an alert, and the failure paths that matter, a full calendar, a bounced message, a duplicate lead, are designed in rather than discovered. A retainer covers fixing them; without one, fixes are quoted as a job.
Not without your wording. Every message a workflow sends is written with you and approved before it goes live, and anything with a consequence, a refund, a complaint, a clinical or legal question, is routed to a person rather than answered.
Sometimes, and that is what the retainer is for. Connectors change, fields get renamed, and a workflow that ran for a year stops. With a retainer the fix is ours to make; without one, it is quoted as a job.
Cost and commitment
Zapier is the quickest to build and the easiest for your team to edit. Make handles more complex branching and higher volumes. n8n can run on your own server when data should not leave your control. We choose per client and tell you why.
A one-off project price for the build, quoted from the workflows on your list. A monthly retainer is optional and covers maintenance, changes and new workflows as your business changes.
[n] weeks for a typical first set of workflows, longer where a tool has no API or the data needs cleaning before it can be trusted.
